So you want to host a DWeb event? Here are steps you can follow to get this off the ground.

  1. Plan the event - make decisions on:
    1. fit - does the event align with the DWeb principles?
    2. collaboration - do you need help, are you inviting collaborators, who are you asking? Tip: engage co-hosts early on for a sense of shared ownership.
    3. event details - where, when, is there food, what does it cost, are there presentations, what tech do you need, who is the audience?
  2. Create the event on https://lu.ma - include:
    1. appealing graphic, catchy and informative title
    2. several lines describing including any details on program/flow, venue accessibility, what attendees can expect
    3. add any questions for attendees (e.g. diet restrictions, what they might present on)
  3. Submit the lu.ma event to the DWebYVR calendar - by default, your event is created in your own account's calendar. If you do not have management access to the DWebYVR calendar, you can submit an event to the DWeb Vancouver calendar by following the instructions below.
  4. Promote the event - invite cross-promotion; tag @dwebyvr.org and @getdweb.net on bluesky for them to repost it.
  5. Send reminder emails to registrants day-of and/or a couple of days before
  6. Hold event - enjoy!
  7. Reflect and take notes what worked / what can be improved - debrief with other folks who helped, debrief at a DWebYVR planning meeting, send attendees a followup survey

Adding an event to the DWeb Vancouver lu.ma calendar

To submit an event to the DWeb Vancouver calendar:

  1. Navigate to https://lu.ma/dwebyvr
  2. Click "submit event"
The 'Submit Event' button is on the right side below the calendar tagline at https://lu.ma/dwebyvr
  1. Fill out with your own Luma event, or a third party event link like Eventbrite
  2. Notify one of the calendar admins that your event has been submitted, by sharing the event page in the DWebYVR signal chat. You can also direct message admins if you know them personally.
